Marking Equipment as Lost or Found

Mark missing gear as lost from the equipment page or a player card. When it turns up, mark it found and it's automatically checked back in.

Common questions from new users based on our tutorial walkthroughs.

How do I add a coach or staff member to my account?
Go to Users at the top of the dashboard and click 'Select New User.' Enter their name, phone, and email. Under access permissions, choose Global Access (sees all teams), Billing Access (sees billing and sport), or Coach Access (sees only their assigned sport). We recommend Coach Access for assistants. They'll get an automated email to join.
What's the difference between serialized, non-serialized, and one-time checkout equipment?
Serialized items are individually tracked with unique identifiers — like helmets with specific numbers, sizes, and brands. Non-serialized items are tracked by quantity — like shoulder pads where you care about how many, not which specific one. One-time checkout items like mouthpieces are distributed once and not checked back in.
How do I bulk upload my roster and equipment?
For players, go to the Players tab, click Bulk Upload, and download the template. Fill it out with your roster info and upload the XLS file. For serialized equipment, go to Equipment Management under serialized, click Bulk Upload, download the template, and upload your gear list. Both imports take seconds.
Can I check equipment in and out from a player's profile?
Yes. You can check gear in and out from two places: the Equipment Management page (find the item and use the checkout/check-in button) or from a player's card (click Issue Equipment to check out, or use the check-in button next to any assigned item). Use whichever is faster for your workflow.
How do I mark equipment as lost?
Find the item in the Checked Out column and click the three dots to mark it as lost, or go to the player's card and click the triangle icon next to the item. When the gear is found, click 'Mark as Found' — the item is automatically checked back in and ready for the next person.
What access level should I give my assistant coaches?
We recommend Coach Access for assistant coaches. This limits their view to just the sport you assign them to. Use Global Access only for head coaches or athletic directors who need to see every team on the account. Billing Access should be reserved for administrators who manage payments.
Can I edit a player's information after adding them?
Yes. Go to the player's card and click the pencil icon. You can edit any field — name, graduation year, guardian info, and more. Hit Save and the updates apply immediately. You can also issue serialized, non-serialized, or one-time checkout equipment from the same player card.
What information can I track for serialized equipment?
For each serialized item you can track: category (helmet, shoulder pads, etc.), item number, brand and model, size, storage location, purchase year, last reconditioning date, price, and any custom notes. All of this is optional except category and item number.
